A SEP should not submit proof of professional development activities unless the Certification Program Office requests it. The Program Office recommends that evidence be gathered in advance of that request.
A certification will be renewed only if the individual documents courses and activities on the log of continuing education which meet the minimum requirements for PDUs. If INCOSE determines that some credits are unacceptable, and the SEP is left with fewer than the required PDUs, the certified professional will have 180 days to obtain PDUs that are acceptable. If the individual has not obtained the requisite PDUs after 180 days, the certification will expire and be subject to submission for late renewal.
Each individual should maintain a summary log that lists his/her PDU activities. The log should use Form 13 and contain their certification number, activity, dates performed, source of activity, description of activity, location, and PDU value.
SEPs must submit the summary log of continuing education as part of their renewal documentation, prior to their certification expiration date. Material, such as detailed course descriptions and certificates of completion, may be requested to check the quality of the courses/activities on the log of continuing education. INCOSE will audit a portion of all renewals to ensure the quality of courses/activities and compliance with the program requirements. When random audits are done, they will be completed as part of the renewal reviews. If you are selected for audit, you will be contacted to provide the necessary documentation.
All records of attendance and completion of PDU credits should be maintained until a renewal is approved, for audit purposes. Records for any "carried forward" PDUs should be retained through the subsequent certification renewal.
Examples of acceptable proof include: meeting minutes listing SEP’s attendance, certification of completion, receipt for event registration, and a letter from a manager confirming your role (for lead SE category).
